How It Works

Everything you need to run a world-class event — from guest check-in to cash gifts. Here is how to get set up in 8 simple steps.

Step 1

Sign Up as Admin

Create your Festivance admin account. Your account gives you full control over your events, guests, menus, servers, and payments — all in one place.

Use a business email you check regularly.

Step 2

Create Your Event

Set up your event with a name, celebrant names, date and time, and whether it is invite-only or open. Your event goes live the moment the start time arrives.

You can create multiple events and manage them separately.

Step 3

Manage Event Details & Tables

Head to Manage Event to update your event settings, add a YouTube live stream link, and create your table layout. Assign table names or numbers to organise your seating plan.

Tables are how guests and servers are grouped — set them up before adding guests.

Step 4

Build Your Menu

Go to Manage Menu to add food and drink items guests can order from their phones during the event. Set item names, descriptions, images, prices, and availability.

Separate food and drink into categories so guests can browse easily.

Step 5

Add Your Guest List

Use Manage Guests to import or manually add guests and assign each one to a table. Guests use their name or access code to check in on the day.

You can generate access codes for VIP or invite-only events.

Step 6

Set Up Servers & Supervisors

Go to Manage Servers to create server accounts and assign them to specific tables. Add supervisors to oversee multiple servers and keep service running smoothly.

Each server gets a PIN to log in on the day — no extra accounts needed.

Step 7

Notify Your Guests

Use the Email Broadcast feature to send guests their event invitation and login credentials ahead of the event. Keep them informed and ready to join.

Send a reminder 24 hours before the event for best attendance.

Step 8

Set Up Payments

Complete your payment details under the Payment section to receive cash gifts from guests during the event. Funds are disbursed to your account after the event.
